2. Information We Collect

We collect information that you provide voluntarily and information that is generated automatically when you use the Site.

Information you provide

  • Contact information: name, email address, phone number, and dealership name when you submit a form, request a walkthrough, download a brochure, or use our revenue calculator.
  • Business information: dealership size, role, location, and other commercial details you share during a partnership conversation.
  • Communications: the content of any emails, text messages, or calls you exchange with our team.

Information we collect automatically

  • Device and usage data: IP address, browser type, operating system, pages viewed, time on page, and referring URLs.
  • Cookies and similar technologies: small data files that help us operate, analyze, and improve the Site. You may disable cookies in your browser settings, though parts of the Site may not function properly.

Information from dealer partners

When a dealership engages our Dealer Hail Revenue Program partnership, we receive sold-customer data under a signed Mutual Confidentiality Agreement. This data is used strictly to identify customers in verified hail-impacted areas, is scope-locked to the partnership, and is never resold, repurposed, or used for general marketing. See Section 7 for details.

3. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries, schedule walkthroughs, and provide information about our partnership and services
  • Send transactional communications (appointment confirmations, claim updates, status reports)
  • Send marketing communications about our partnership and services (only with your consent)
  • Operate, maintain, and improve the Site and our services
  • Comply with applicable laws and protect our legal rights
  • Detect and prevent fraud, abuse, or security incidents

4. SMS and Text Message Communications

This section addresses our SMS and text message practices. It applies in addition to the rest of this Privacy Policy.

Consent and opt-in

By providing your phone number on any form on the Site, requesting a walkthrough, or otherwise affirmatively opting in, you consent to receive recurring text messages from DealerHailRepair.com LLC related to your inquiry, our partnership, scheduling, claim updates, and related business communications.

Consent to receive text messages is not a condition of purchase or partnership.

Message frequency

Message frequency varies based on your engagement with us. You may receive transactional messages (such as appointment confirmations or claim updates) and, where you have opted in, periodic marketing messages.

Message and data rates

Message and data rates may apply. Your mobile carrier's standard rates apply to all text messages you send and receive.

Opt-out

You may opt out of receiving text messages from us at any time by replying STOP to any text message you receive from us. After you send STOP, we will send one final confirmation message and will not send you further marketing or recurring text messages.

Supported carriers

Our text messaging services work on most major U.S. wireless carriers, including AT&T, T-Mobile, Verizon, Sprint, U.S. Cellular, and others. Carriers are not liable for delayed or undelivered messages.

No sharing of phone numbers or SMS consent for marketing

Mobile phone numbers, SMS opt-in data, and SMS consent information are not shared with third parties or affiliates for marketing or promotional purposes. Phone numbers and SMS consent are used solely for the communications you opted in to receive from DealerHailRepair.com LLC, and to enable service providers (such as our messaging platform vendor) to deliver those communications on our behalf.

5. How We Share Information

We do not sell your personal information. We share information only in the limited circumstances below:

  • Service providers. We share information with vendors who help us operate our business — for example, our CRM, our messaging platform (Aloware), our email provider, our analytics provider, and our website host. These providers are contractually obligated to use the information only to provide their services to us and to protect it consistent with this Policy.
  • Partner dealerships. If you are a customer of a dealership enrolled in our Dealer Hail Revenue Program partnership, we may share information related to your claim, repair, or service experience with that dealership as part of the partnership workflow.
  • Insurance carriers and adjusters. When handling a claim, we share information necessary to coordinate, document, and resolve the claim with the relevant insurance carrier and its adjusters.
  • Legal and safety. We may disclose information when required by law, subpoena, or court order, or when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business transfers. If DHR is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

6. Cookies and Tracking Technologies

We use cookies, web beacons, and similar tracking technologies to:

  • Recognize returning visitors
  • Remember your preferences and form inputs
  • Analyze how visitors use the Site (via providers such as Google Analytics)

7. Dealer Partnership Data (Sold-Customer Databases)

When a dealership enrolls in our Dealer Hail Revenue Program partnership, the dealership may share its sold-customer database with DHR. This data is governed by additional contractual protections beyond this Policy, including:

  • Signed Mutual Confidentiality Agreement between DHR and the dealership
  • Non-Solicitation Agreement preventing DHR from marketing to, soliciting, or otherwise contacting the dealership's customers for any purpose outside the partnership
  • Scope-Locked Use restricting data use to identifying customers in verified hail-impacted areas (1.25"+ events) and operating the partnership workflow
  • No Resale or Repurposing — sold-customer data is never sold, transferred to other dealerships, used for list-building, or repurposed for other marketing

8. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Policy, including providing services, complying with legal obligations, resolving disputes, and enforcing agreements. Inquiry data is typically retained for 24 months unless a partnership relationship is formed, in which case it is retained for the duration of that relationship plus any legally required retention period.

9. Your Rights and Choices

Depending on where you live, you may have certain rights regarding your personal information. These may include the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your information
  • Opt out of certain uses of your information (including marketing)
  • Withdraw consent at any time (where consent is the basis for processing)

Do Not Track

Our Site does not currently respond to Do Not Track browser signals.
